Position: Accounting Director
Organization: American Society for the Prevention of Cruelty to Animals

Job Summary:

Under direction of the Controller, the Accounting Director is responsible for the Payroll functions, Accounts Payable functions, Fixed Asset accounting, and various other accounting records and duties. The Accounting Director also provides supervision and training to accounting department employees.

Job Responsibilities:

·Plan, prioritize, assign, supervise, review and participate in the work of staff responsible for Accounts payable, Payroll, and Fixed Assets. Ensures accuracy, completeness and compliance to internal controls and with applicable rules, policies and procedures.
·Assists in the restructuring of Accounts Payable functions. Establish schedule and methods for providing Accounts Payable and Payroll services; identify with Controller resources needed, allocate resources accordingly.
·Participate in the development of Accounts Payable and Payroll goals and objectives; monitor work activities to ensure compliance with established policies and procedures; make recommendations for changes and improvements to existing standards and procedures.
·Supervise and manage the selection of Accounts Payable and Payroll staff including professional and clerical employees, provide or coordinate staff training; work with employees to correct deficiencies; implement approved policies and procedures, and promote team work among staff.
·Reviews Accounts Payable batches, verifies accounts coding and correct periods, runs open payable reports, check register reports, agrees monthly AP subsidiary ledger to general ledger.
·Oversee payroll processing activities; prepare and/or review the set-up of new deductions, benefits and accrual information and ensure implementation of all mandated and negotiated changes to the payroll process. Review new hire and termination entry, retro payment calculations, employee changes and payroll vendor checks. Create process to review and approve payroll registers.
·Prepares payroll journal entries, including weekly and Bi-weekly automated payroll journal entry and the monthly reconciliation of payroll balance sheet accounts. Supervises and reviews all departmental reports such as PTO reporting.
·Administers 401K payroll and contribution reporting. Has knowledge of IRS and ERISA laws and regulations and coordinates with the HR department on 401K matters to ensure regulatory compliance to employees and Trustee. Assists in the 401K year-end audit.
·Reviews/reconciles Paychex prepared quarterly 941 tax returns. Ensures that all state applicable employee taxes are paid and recorded.
·Manages the annual tax returns for Payroll including W-2's, W-3 transmittal form, and for Accounts Payable 1099's, and 1096 transmittal form.
·Supervise and assist in the automation of a new time-keeping system that interfaces with Paychex.
·Maintains the capital asset records: assigns capital asset numbers; inputs information, disposals, corrections and adjustments; keeps capital asset records current and in balance; and maintains capital asset schedules.
·Assists the Controller in preparing for the quarterly financial statements publication.
·Performs daily/weekly verification of supporting documentation for IT purchase requisitions/purchase orders.
·Assist in utilizing the GL system for Inventory Accounting on a weekly basis.
·Performs all duties of the Payroll Administrator and Accounts Payable Manager during absences and when the position is not filled.
·Prepares special accounting reports as requested by the Controller.
·Maintains petty cash fund. Responsible for verifying and balancing all Finance Department petty cash funds.
·Assists with budgeting and year-end audit process.

Education:

Education should be a Bachelor's degree from an accredited college or university with a major course work in accounting, finance, business administration, or related field

Experience:

Minimum requirement is seven years of relevant and responsible accounting and financial management experience, including three to five years of administrative and/or lead supervisory experience.

Knowledge Requirements:

·Knowledge of accounting principles, mathematical methods, internal controls
·Knowledge of merchant credit card accounts/reconciliation methods
·Advanced knowledge of Accounts Payable procedures in a computerized environment
·Knowledge of automated payroll systems

Skills Requirements:

·Responsible for overseeing the Payroll and Accounts Payable offices.
·Ability to communicate effectively and to maintain effective working relationships within the Finance Department and with other departments, specifically the Development Department
·Ability to prepare concise written reports/policies and procedures
·Ability to handle highly sensitive information and maintain strict confidentiality
·Requires ability to recruit, train, instruct, supervise, evaluate, motivate, appropriately discipline, and develop staff.
·Requires the ability to properly classify general ledger accounts in the Financial Statements.
·Ability to interpret and implement ASPCA policy and regulations
·Requires the ability to maintain cooperative relationships with co-workers and supervisors, and vendors
·Requires ability to communicate and follow up with other departments on general ledger coding, training departments when necessary.
·Ability to work in a restructuring environment
·Skill in using analytical techniques to reconcile financial data
·Ability to work independently and to prioritize effectively
·Ability to train others in assigned accounting/accounts payable or payroll work
